Q. How do I send HTML messages with pictures?

A. In order to send HTML with pictures you must have them available somewhere on Internet. In our case we have a directory at Macware where we store all our pictures. You may say that if you do this, then you can't see any picture when creating your HTML documents...there is a trick. Name a folder the same as the one you have on your web site for pictures. Then after the <HEAD> tag of your HTML document add:
<BASE HREF="http://www.myweb.com/">
Then if a "picture" named picture1.jpg from folder "pictures" is inserted into your HTML document, your HTML software adds a line like:
<IMG SRC="pictures/picture1.jpg">
If you try to preview your document locally, it works...then if you send it to somebody then they will get picture1 from:
http://www.myweb.com/pictures/picture1.jpg

 

 Q. How do I send HTML messages with embedded pictures (MHTML)?

A. Email Campaign allows you to send both HTML messages with online or inline pictures. The difference between the two methods comes from the way the pictures are added to the message.

Online pictures are not sent with the message but they are referred using a standard URL like for example http://www.mydomain.com/mypicture.jpg. It is the recipient e-mail reader software that will fetch those pictures silently from the given URLs and will display them along with the message.

Inline pictures however are sent with the message and are referred by name. That name has to match the name of the picture attachment you have added to the message. Inline pictures will be codified and embedded to the message to produce a MIME MHTML message.

When you design a web page with Golive or DreamWeaver and insert a picture, you insert a URL to that picture inside your HTML code. When you are finished and paste the code to Email Campaign you end up with URLs that point to nowhere so you have to edit them. If you have added those pictures to your message as attachments and want them to be embedded, edit those URLs and replace them with the pictures names you have dropped. If the pictures are online, just type the right URLs.

For example, let's say your HTML code contains a URL to the picture: 'pictures/cat.jpg'. If you paste that code to Email Campaign and want to embed the picture, you drop that picture to the attachment panel and modify the code to use the picture name rather than a URL (cat.jpg). Now we have a reference to 'cat.jpg'. This name matches the name of a file in the attachment panel. At delivery time, Email Campaign will embed the file with the message.

Note that you have to be very careful about the total size of your attachments when sending individual messages because you will send as many times that size during the delivery. That means sending 10Kb to 1,000 recipients will generate 10Mb traffic! With a 2Kb/s bandwidth it will take 1 hour and 25 minutes.

Q. How do I import recipients from a plain text file?

A. To import data from another database application, you need to export it to a common database format like Tab-delimited or Comma-Delimited text. Once you have the data in a format Email Campaign can handle, you simply click on the Import button, select the data file from the dialog and select Open. You'll then be presented with a screen showing all the fields included in the data file:

You can use the Field Delimiter pull-down menu to choose the right format and to preview the actual data you can use the left and right arrows in the top left corner to scroll through each record. Email Campaign assists you during the importation process giving you the possibility to import data from file to Email Campaign the way you want, that is, the fields you really need in the order you want using one of the four available delimiters: tab, comma, colon or semicolon

Your database field order likely won't correspond with the field order required by Email Campaign. Just highlight a field and use the up and down arrows on the right hand side of the screen until it matches the correct field and repeat as often as required. You can go thru file data in order to check that each field is really where expected. Once all the fields are aligned and properly checked, click the Import button and your data will be imported. Important: The Email Campaign 'E-mail Address' field expects and requires an e-mail address. If a record has no e-mail address or that e-mail address has not been properly lined up with Email Campaign E-mail Address field, the record will not be added.

Note: Email Campaign lets you save your current import settings for later use. Just use the Import Presets pull-down menu to create, load or remove your import settings.

Q. How do I import my contact list into Email Campaign from Entourage, Mac OS X Mail, Outlook, Now Contact, Netscape Mail, Claris Emailer and Eudora?

A.  This topic shows you how to add recipients to Email Campaign from Entourage, Mac OS X Mail, Outlook, Now Contact, Netscape Mail, Claris Emailer and Eudora:

Entourage From Address Book:
1.- Create a new Group inside your Address Book using 'New Group' button.
2.- Drag and drop recipients to export to this group.
3.- Close group and save it if you are asked.
4.- Drag and drop your group from Entourage to Email Campaign list.
Note: Skip step 1 to 3 if you already have a group.
or
1.- Select the recipients you need to export.
2.- Drag and drop them to your desktop or to a folder.
3.- Drag and drop resulting vcard files to Email Campaign list.
From Messages:

Q.  How do I import my recipients from an Excel sheet?

A.  Email Campaign is not able to load e-mail addresses directly from a native Excel 'xls' file. In order to load e-mail addresses from an Excel sheet, you have the choice between saving it as a plain text file first or use the clipboard.

Saving as plain text:
- Open your Excel sheet.
- Select the 'File | Save As...' menu.
- Select 'Text (Tab delimited)' from the Format pull-down menu.
- Give a name and press the Save button.
- Import the resulting file using Email Campaign 'File | Import from a file' menu.

Note that for this last step, you have to make sure your file fields are properly lined-up with Email Campaign's. Use the 'Up' and 'Down' buttons on the right to move Email Campaign fields until they match your file fields and uncheck the one you don't need.

Using the clipboard:
- Open your excel sheet.
- Select the columns* you wish to import to Email Campaign.
- Open Email Campaign and move to the Recipients panel.
- Select the 'Edit | Paste Special' menu.

* Columns are Firstname, Surname, Company and e-mail address followed by any optional column if any, in this order. Feel free to insert blank columns if necessary. Firstname, Surname, Company and e-mail address columns are required. Firstname, Surname and Company columns can be empty. e-mail address column has to contain valid e-mail addresses.

Q.  How do I import my recipients from a FileMaker database?

A.  You can import recipients from FileMaker databases two ways. First is simply exporting FileMaker records to a plain text file and then importing that file to Email Campaign. Second way is directly from inside FileMaker, using a script. This second method works only on Mac OS X though.

Exporting records to a plain text file:
- Open your FileMaker database.
- Select the 'Records | Show All Records' menu and/or perform a search.
- Select the 'File | Export Records...' menu.
- Select 'Tab-Separated Text' from the Type pull-down menu.
- Give a name and press the Save button.
- Import the resulting file using Email Campaign 'File | Import from a file' menu.

Note that for this last step, you have to make sure your file fields are properly lined-up with Email Campaign's. Use the 'Up' and 'Down' buttons on the right to move Email Campaign fields until they match your file fields and uncheck the one you don't need.

Using a FileMaker script (Mac OS X only):
You have to follow the FileMaker integration guide that comes with the software. It explains you how to:

- Add a calculation field to gather the record data.
- Create the script defining the event type and target application.
- Eventually, how to assign your script to a button.

Q.  How can I handle removing several email addresses at once from a list?

A.  If you need to batch remove e-mail addresses from your Email Campaign list either because some of your recipients have unsubscribed from your list or your message has bounced, just put all the e-mail addresses to delete into a text file named "DELETE" and drop it onto your master list loaded in Email Campaign. This will force Email Campaign to remove all those addresses in one pass. For creating your text file you can use your favorite plain text editor like NotePad on the PC or free TextWrangler on the Mac.

Note that Gmail accounts may have delivery limitations. Breaking the rules will cause Google to disable your Gmail account temporarily without any warnings.

- You may send a single e-mail message to a maximum of 100 recipients in one mailing, not to exceed 500 recipients within a one hour period. All single e-mails sent to over 100 addressees will not be delivered. No notice will be given to you in this case.

- If you send e-mails to more than 500 recipients within a one hour period, your ability to send ANY e-mail messages is suspended for 24 hours. You will receive a Notice regarding this action.

Q.  How do I send messages using my own mail server?

A.  When sending e-mail you have the choice between using your ISP, your web host or your own dedicated SMTP server (An SMTP server is a mailserver that you use to send email. It stores your messages and ensures that your messages are either delivered or returned to you with a failure message).

Your ISP usually will provide an SMTP mail server but most ISPs will not want you to send bulk email through their mailservers.  Many have restrictions on the number of messages you can send per hour.

Your web host should provide you with a dedicated SMTP server. Particularly if you are a business and you have a legitimate need to communicate with your customers, then your web host should provide SMTP server service as well.  They may also have sending limitations, but they are likely much less restricted than an ISP mailserver.

Your own dedicated SMTP server is also an option. You will need to make sure that your IP address is not on any listings of dialup or dynamically allocated IP addresses (Residential IP) and make sure the IP address you are using is registered to a domain name preferably with an MX record.

Q.  How do I use a different port number?

A.  By default, Email Campaign will use the standard port numbers for access to corresponding internet services, 25 for SMTP and 110 for POP. But if you need to use a nonstandard port number, indicate it after the address of the server, separated by a colon. For example:

smtp.mail.net:587
pop.mail.net:111

Delivery
Q.  How does Email get delivered?
A.  Email Campaign works exactly the same way as any other e-mail software. It uses a defined protocol to connect and to talk with an outgoing e-mail server over the internet. The protocol is like a language both Email Campaign and the server understand. It is called SMTP. SMTP stands for Simple Mail Transport Protocol. You always have access to at least one SMTP server thru your ISP (Internet Service Provider).

When you press the Email Campaign 'Send' button, your messages are sent to your ISP outgoing e-mail SMTP server. You can follow the process looking at the Delivery panel. You can see how Email Campaign connects, authenticates, sends your messages and wait for delivery receipts. During that process Email Campaign marks recipients as delivered only when the server responds with a successful delivery receipt. That receipt uses to include a reference ID for tracking.

Once the server accepts your messages for delivery, it becomes the unique responsible for routing them all properly till their final destination. In other words, the server tells Email Campaign the messages are valid and are accepted for delivery. At this point Email Campaign is done.

Your SMTP server then looks at who the message is to. Specifically it examines the domain it is supposed to get delivered to. This domain is then looked up via an online directory of sorts known as DNS (Domain Name Service) to determine which server handles its incoming e-mail. This special DNS host is known as the MX (mail exchange) record and the server as the Mail Exchanger, receiving mail server or incoming SMTP server.

If your SMTP server is unable to look up the destination e-mail address, a bounce is generated else it will connect to that Mail Exchanger and will attempt to deliver the messages. Usually this is where the first level of anti-spam filter software is used. Most commonly one or more real-time blacklists are used to block messages from anyone who's not to be trusted. If an error occurs a bounce is generated. Note that a blacklisting is also supposed to generate a bounce but is is not always the case.

Frequently users will also have an e-mail spam blocker deployed client-side. Increasingly some email clients have simple spam e-mail stopper technology included. This presents one more barrier an e-mail has to pass through before making it to the user's inbox.

Q.  Are my lists visible to recipients?

A.  Absolutely not, you can be fully confident that your lists will never be sent to your recipients. By default Email Campaign sends your messages individually, in other words, it sends them to each recipient one by one. This is how the 'Singly' mode works, it is like if you were sending yourself the messages manually one by one with Outlook, Mail or Entourage. The recipients will always receive fully customized e-mails with their data properly placed in the To header exactly if they were addressed only to them. Actually it is impossible to distinguish a message sent with Email Campaign from one sent with Outlook, Mail, Entourage or any other e-mail software. In addition, because e-mails are sent one by one, you can use tags to insert custom recipient's info inside the subject or the body of the messages.
Now, if you uncheck the 'Singly' box, the whole list is sent to your server but remains hidden to the recipients thanks to a custom To header set to 'undisclosed recipients'. Actually thanks to that header the list is not sent to your recipients at all so again you can be fully confident that your lists will never be made public. This is Bcc mode (aka bulk mode), a delivery mode highly recommended when sending big attachments however it doesn't support the use of tags.

Q.  Does Email Campaign complete click-through tracking or click-through rate?

A.  Click-Through is the act of clicking on a link, a banner or other ad, which takes the user through to the advertiser's Web site. Used as a counter point to impressions to judge the response-inducing power of the link. A click-through is registered whenever a viewer clicks on that link or banner ad. This measurement is important to determine whether an ad is successfully getting traffic. To determine the click-through rate, you have to divide the number of responses by the number of e-mails you have sent (multiply this number by 100 to express the result as a percentage).

Email Campaign has no click-through tracking feature built-in because this is an event that happens outside the program and at a different time.
